For five decades, the Environmental Law Institute (ELI) has played a pivotal role in shaping the fields of environmental law, policy, and management, both domestically and internationally.

ELI is now hiring an Administrative Manager with a professional demeanor who enjoys assisting others by successfully managing a variety of administrative and operational tasks. The ideal candidate will possess the skills and demeanor to effectively interact with clients and team members. A willingness to learn new skills is a must.

As an Administrative Manager, you will play a crucial role in supporting the Vice President of Finance with the operation of daily activities. This position requires a proactive and highly organized professional with exceptional communication skills, attention to detail, and the ability to manage multiple tasks efficiently and independently.

POSITION RESPONSIBILITIES

  • Oversee and manage the day-to-day operations of the office.  
  • Oversee office equipment, troubleshooting issues and scheduling maintenance when necessary.
  • Manage office supply inventory, including kitchen items, and order necessary items in a timely matter.
  • Manage relationships with IT service providers, including managed service providers, consultants, and other providers; this also includes providing IT support backup and oversight and monitoring our inventory of IT equipment (laptops, monitors, docking stations, etc).
  • Oversee the logistics of staff onboarding/offboarding, including desk space, IT needs, name plates, telephones, etc.
  • Record incoming checks and prepare daily check log for Senior Accountant.
  • Distribute mail to employees and handling outgoing mail.
  • Gather and maintain the list of local suppliers (food/travel/accommodation/office supplies/printing) and maintain relationships with them to get best pricing or group discounts.
  • Assist with office events, including hosting of external meetings, internal meetings, and social events.
  • Liaise with building management as it pertains to facilities matters, such as repairs, appliance maintenance, safety drills, etc.
  • Build and execute an emergency preparedness plan, including assignment of floor wardens, drafting and finalizing a disaster recovery plan, and other aspects of physical safety.
  • Assist President and Vice Presidents on as-needed basis.
  • Maintain and organize internal online resources and assist with office intranet cleanup

QUALIFICATIONS

  • High school diploma or equivalent.
  • Minimum of 5 years of previous experience in office administration.
  • Excellent interpersonal skills, enabling professional interactions with individuals at all organizational levels.
  • Self-motivated and adept at working autonomously, exhibiting a high level of independence.
  • Strong written and verbal communication skills.
  • Discretion and integrity in handling confidential information.
  • Strong MS 365 skills.
  • Ability to engage in general IT troubleshooting and problem-solving.
  • Ability to work independently and as part of a team.
  • Residency in the Washington, DC area, and willingness to be onsite 4 days per week.

COMPENSATION

The annual salary for this position starts at $62,500 and is commensurate with experience. ELI’s total compensation includes excellent benefits including:
